Drawing of a front desk bell ringing

Researchers at UC Irvine found it takes about 23 minutes to get fully back to a task after an interruption. Every call you take in the middle of a job is an interruption.

You answer most of your calls. Your customers like that. Here is what an AI receptionist adds, even for owners who pick up.

The calls you answer still cost you

A massage therapist in Hilo steps out of a session to grab the phone. An HVAC tech in Mililani climbs down from an attic. A barber puts down the clippers. The call takes two minutes. Getting back into the work takes longer.

Put a number on it. Say you take 10 calls a day during jobs, and each one costs you 5 minutes for the call and getting back on track. That is almost an hour a day. Over a five day week, that is about 4 hours.

What changes with an AI receptionist

  • You stay on the job. Calls get answered while your hands stay on the work. You call back at a stopping point, with the details already in a text.

  • The client in front of you gets all of you. No more "sorry, I have to take this" in the middle of a session.

  • Your schedule is managed for you. It books, moves, and confirms appointments on your calendar, inside the hours you set.

  • Callers get answers right away. Hours, prices, directions, and "do you do this?" get answered on the first ring, day or night.

  • Nothing slips. Every call comes with a short summary, so you are not trying to remember a name and a number from the driveway.

You still choose which calls come to you

An AI receptionist does not have to take every call. Common setups:

  • It answers only when you are busy or after hours.

  • It passes regulars, or any caller who asks for you, straight to your phone.

  • It takes the simple calls and sends the rest to you.

You set the rules. With us, you can also keep a real person on every reply.

When you do not need one yet

If your phone rings a few times a day and never during a job, you may not need one yet. A text back for missed calls can be enough. Read more in our post on missed call text back.

ONE THING TO TRY THIS WEEK

For one day, write down every call you take in the middle of a job. Next to each one, note how long it took to get back to work.
