Here is where those missed calls go, and how to get the callers back.
Most calls never reach a person
In 2024, the directory company 411 Locals called 85 small businesses across 58 industries. A real person answered only about 38% of those calls. The rest went to voicemail or rang out.
Put that on a real day. Say 20 people call your shop.
About 8 reach a person.
About 7 or 8 reach voicemail.
About 5 hear the phone ring and ring.
Most people will not leave a message
Voicemail feels like a safety net. For most callers, it is where the call ends.
In a study of small business calls by the answering company Moneypenny, 69% of callers who reached voicemail hung up without a message.
So of the 8 people who reach your voicemail, about 5 hang up. Add the 5 whose call rang out. That is 10 people, half of your calls, who leave you nothing. No name. No reason for the call. Many of them dial the next shop on the list.
Why it hits small shops hardest
In a small business, the owner is often the tech, the estimator, and the person who answers the phone. The busiest hours for the work are the busiest hours for the phone. When the shop is full, the phone loses.
Ways to answer every caller
The goal is simple. Every caller gets a reply, even when your hands are full. Common ways to get there:
Missed call text back. When you cannot pick up, the caller gets a text from your business number in seconds. We explain how it works in our next post.
AI receptionist. It answers in your business name, takes the details, and can book the job.
A teammate on the phone. This works when someone is always free. In a small shop, that is rare.
